This notice describes what the current product may record, why that information may be needed, and who may have access to it. It is not a complete list of every service provider and does not make a legal-compliance claim. For questions or authorized requests, contact support@cllearninglabs.com.
Information the product may record
- Public and session activity: information needed to operate the public site and general information about how people use the guided demo.
- Account and sign-in information: username, email, display name, account identifiers, and Google account identity when Google sign-in is used. The app does not receive a Google password.
- Teacher profile: name, school or organization information, teaching details, adult educator confirmation, any later verification status, and policy or agreement records.
- Classes and attachments: classes, memberships, assignments, uploaded attachments, and related ownership or access records.
- Practice: questions, answers, scores, attempts, and progress records.
- Writing: drafts, versions, submissions, reflections, feedback, rubric records, and limited records about the writing process that the feature is designed to capture.
- Support and feedback: messages, requests, and information supplied through support or feedback surfaces.
- Security and activity records: information needed to protect the service, investigate a problem, enforce access boundaries, and record important administrative actions.
- Payment records: Coach keeps provider identifiers, subscription and payment status, billing-period dates, and limited billing records needed to operate billing and resolve problems. Coach does not store card numbers.

Teacher trials and classroom records
During an active teacher trial, a teacher may create classes, share class links and codes, enroll students, create assignments, review student work, export available records, and use available Coach features. The product may record the account, class, membership, assignment, practice, writing, and feedback information needed to provide those services.
A class code lets a student request access to a teacher's class. It does not enroll the student by itself. Before sign-in, a valid code may show the class name and teacher display name, but it does not show the class roster or other school information.
The teacher trial ends exactly 30 days after it starts. Trial expiry pauses new teacher changes, new Coach requests, and new student joins only when no other valid access applies, but it does not itself delete the account or classroom records. The retention, export, correction, and deletion information below continues to apply.
How information is used
The product uses this information to provide sign-in, secure access, classroom activities, practice, writing, support, safety, and features that a teacher or student chooses to use. Teacher contact information may also be used for account setup, security, service, and trial-support messages. Product updates follow the teacher's saved email preference.
When an available Coach feature uses AI, it may receive the limited context needed for that feature only when the teacher's settings allow it and a teacher or student uses it.
CL Learning Labs does not sell student data, use it for targeted advertising, create unrelated commercial profiles, or train general models on identifiable student work without a separate explicit policy and valid authorization.
Optional Google Classroom connection
When a teacher chooses to connect Google Classroom, Coach requests permission to identify that Google account, read the classes it teaches and their student identifiers, and manage assignments and grades. Coach stores the connected account identifier, encrypted access credentials and records needed to link assignments and confirm selected transfers. Student matching uses an existing verified Google account identity; it does not create student accounts or guess matches from names or email addresses.
The teacher chooses the class, assignment and students before publishing directions and a work link. A separate preview lets the teacher send eligible completed-practice scores or released teacher grades. This integration does not send student writing, draft history, private teacher notes, rubric comments, coaching conversations or AI score estimates to Google. It does not introduce a new AI request using Classroom data.
Disconnecting removes Coach's saved credentials and pending connection requests and attempts to revoke Google's authorization. If revocation cannot be confirmed, Coach explains how to remove access in the Google account. Disconnecting does not delete assignments or grades already shared with Google. Schools may restrict third-party tools, and ordinary Coach links and manual grade entry remain available.
Provider boundaries
The following boundaries describe providers relevant to the current release. They are not a claim that this is a complete provider list.
- Google: account authentication and, when a teacher separately connects Classroom, the class, roster, assignment and grade services described above.
- Render: hosts the application, database, uploads, and related infrastructure. This notice does not claim a hosting region.
- OpenAI: may receive the limited context needed to provide a Coach feature when that feature is available, the teacher's settings allow it, and a teacher or student uses it.
- Stripe hosts checkout and billing management for optional teacher subscriptions. We send the account identifiers and subscription details needed to connect billing to your teacher account. You enter payment information on Stripe's hosted pages.
Provider training, retention, encryption, geography, security, and compliance commitments require current provider documentation, inventory, contract review, and qualified counsel. This notice does not make those unverified claims.
Who may see records
Access follows the product's account, class membership, ownership, and role boundaries. Teachers may see records made available for classes and assignments they own. Students may see their own work, feedback, and the support boundaries made available to them. Authorized support or administrative access may be used when needed for support, safety, or system operation.
Writing Coach retention
Where Writing Coach records apply, the approved planning schedule keeps final submissions, meaningful drafts, reflections, and rubric records for the active class plus 24 months, subject to lawful school control, export, and counsel review. Recoverable autosave snapshots are planned for 90 days after an assignment closes or final submission. Detailed inserted-material records are planned for 180 days after assignment closure. Identifiable coaching interactions are planned for the active class plus 12 months, and legacy behavioral telemetry is planned to expire within 90 days. Security and audit records use purpose-specific schedules.
Archiving a class starts the applicable retention periods. These are planning periods, not a promise that every deletion happens automatically today. Ending a teacher trial does not itself delete the account, classes, assignments, or student records.
Export, correction, and deletion requests
The current student Writing Coach export is not a complete account export. Requests for broader export, correction or context, or deletion require authorization and may be limited by account or school dependencies, applicable retention, legal or safety needs, and backup aging. Contact support@cllearninglabs.com so the request can be reviewed through the appropriate control. This notice does not promise deletion at any particular time.
School, age, and product review
School use, age-appropriate access, accessibility, and district or legal requirements depend on the actual deployment and authorization. This page does not certify FERPA, COPPA, state-law, district-policy, security, or contractual compliance. Public policy and school commitments must match verified system behavior and qualified privacy counsel review.
